POSITION: ADDITION TO RESERVE OFFICE ASSISTANT

WAGE RANGE: BASED ON QUALIFICATIONS

CLASSIFICATION: PERMANENT FULL-TIME

SUMMARY OF POSITION:

The Addition to Reserve Office Assistant is a support position for the Lands & Resource Department who is
under the direct supervision of the Lands Manager. The Leasing Office will perform all Land Leasing duties
as directed in accordance with the Addition to Reserve Office Assistant Job Description. The primary role of
the position is to provide support by ensuring all Land Leases/Permits, Grants of Interest are maintained, upto-date, and payments are negotiated and received and help with day to day operations of the Lands and
Resources Department such as meeting minutes and filing. The Addition to Reserve Office Assistant will
ensure that Kahkewistahaw First Nations’ Lands are properly always maintained.

DUTIES & RESPONSIBILITIES:

1. Responsible for becoming familiar with all reports and legislation in respect to the Land Management
Program as Kahkewistahaw First Nation operates under two land regimes Reserve Land Management
Program (RLEMP) and Kahkewistahaw First Nation Land Code
2. Responsible for maintaining all files and indexes pertaining to the leasing procedures of the
Kahkewistahaw First Nation
3. Responsible for collection of payments, issuing receipts and ensuring all payments are up-to-date
4. Responsible for preparing and presenting regular reports on the Land Leases to the Lands Manager
5. Responsible for update of fees, time frames, etc. for all Grazing, Agriculture and Hay Permits/Leases
6. Responsible for monitoring and compliance of site inspections for all Grazing, Agriculture and Hay
Permits/Leases
7. Responsible for deciphering mapping products to give an accurate land reading and description
8. Responsible for participating in all training, workshops, conferences, etc. as they pertain to Land
Management
9. Responsible for acting as a liaison with the general public in the absence of the Lands Manager
10. Other related duties as may assigned in relation to Lands.

REQUIRED SKILLS, QUALIFICATIONS AND COMPETENCIES:

1. Possess recognized training the area of Land Management and Procedures or possess a minimum of
Grade 12 with at least two (2) years office experience.
2. Must have excellent public relations abilities and communication skills to deal effectively with the
public, Chief & Council, Lands Committee, employees and most importantly the Membership
3. Must possess the ability to take direction and work with minimum supervision
4. Must be well organized, punctual, dependable, reliable and ensure that confidential matters remain
confidential
5. Must possess intermediate computer skills and be familiar with related software
6. Must possess considerable knowledge of effective office procedures, techniques and file maintenance,
data processing and minute taking
7. Moderate to advanced computer skills, adept in Microsoft Office with ability to learn new
applications as required – accounting software, Google Earth, mapping platforms, etc.
8. Conflict resolution and moderation skills.
9. Leadership and supervisory skills.
10. Submit a current Drug Screen Results within thirty (30) days of commencement of employment.
11. Possess a valid driver’s license and a reliable vehicle.
12. Three (3) current written references with an updated resume and cover letter and a current vulnerable
sector check.
